
Requirements for an Erasmus+ exchange
If you are going on a exchange within the EU/EEA, the majority of AAU's cooperation agreements are Erasmus+ agreements. This means that there are a number of special conditions you must meet in order to receive a scholarship. We have collected them here - easy and manageable.

About the specific requirements for an Erasmus+ exchange (EU/EEA)
The Erasmus+ programme is an EU programme for students within all academic fields who wish to carry out parts of their education at another European institution of higher education.
Aalborg University (AAU) has applied for and been awarded with an Erasmus Charter for Higher Education. This makes it possible for students at AAU to study abroad for free in Europe and to apply for a grant.
AAU has Erasmus+ agreements with about 350 higher education institutions all over Europe.
This page contains all the information which is special for studying abroad within the Erasmus+ programme. For all the general information about studying abroad with a partner university, please also read:
- You must be enrolled at Aalborg University (AAU) at either undergraduate or graduate level.
- You have completed at least the first year of your education when your stay abroad begins.
- The duration of the stay is between 3 – 12 months.
- A bilateral Erasmus+ agreement between AAU and the receiving higher education institution (where you will study) is available. Please note that the agreement must be signed by your own Study Board.
- You can get a credit transfer for your study period abroad (i.e. it is approved as an integrated part of your study program at AAU). You must apply for a pre-approved credit transfer via your Study Board.
- An 'Erasmus Learning Agreement for Studies' has been signed and uploaded to International Office's online system before your stay abroad.
To find the relevant Erasmus+ agreements you must do the following:
- An Erasmus+ agreement MUST be signed by your Study Board - thus, you must search by your Study Board when searching in our directory of exchange agreements.
- When the list of agreements appears you must sort it again to have the Erasmus+ agreements listed at the top. You do this by clicking twice on the 'Study Board' column. Now the Erasmus+ agreements are listed at the top. If you are in doubt please do not hesitate to contact us at the International Office.
- When you have found an interesting university, you must click on the agreement and a pop-up box will appear. In this box, you will find more information about this particular agreement. Please pay special attention to whether the agreement is for undergraduates/postgraduates or both and note if any specific restrictions apply to the agreement, for instance, some agreements signed by the Study Board of Architecture and Design are for Industrial Design students only.
- When you have found the place you want to apply for you simply click 'apply' on the specific semester.
It is your responsibility to be covered by proper insurance during your stay abroad. Aalborg University (AAU) has no insurance, which covers students going abroad.
You must be covered in terms of the following insurances:
- Sickness/health (both physical and mental diseases)
- Liability
- Accident
- Baggage
When you go abroad to study with the Erasmus+ program it is a requirement that you are covered by at least health insurance.
Concerning the health insurance: If you are an EU citizen you may already have the blue EU Health Insurance Card, but please note the following:
The blue card gives you access to medically necessary, state-provided healthcare during a temporary stay in any of the 28 EU countries, Iceland, Lichtenstein, Norway, and Switzerland, under the same conditions and at the same cost (free in some countries) as people insured in that country.
The card is issued by your national health insurance provider.
The blue EU-health insurance card is not to be considered a travel insurance
It is important to pay attention to the fact, that the EU-health insurance card is not an alternative to travel insurance.
- It does not cover any private healthcare or costs such as a return flight to your home country or lost/stolen property,
- It does not cover your costs if you are traveling for the express purpose of obtaining medical treatment,
- it does not guarantee free services. As each country’s healthcare system is different; services that cost nothing at home might not be free in another country.
We recommend you contact your private insurance company (or the examples listed below) to ensure that you are covered according to the requirements of the European Commission:

All Erasmus students must complete a mandatory online language assessment both before (or at the beginning of) and after the stay abroad. The European Commission has developed the Erasmus+ Online Linguistic Support.
Important: You will no longer be eligible for the Erasmus+ grant if you do not fulfill the assessment within time.
How to take the language test
We will send you a link to the assessment to your AAU student e-mail. The assessment takes approximately 40 to 50 minutes and consists of questions regarding e.g. grammar, vocabulary, and comprehension with a total of 70 questions.
You will have to take the test if you are taking courses in one of the following six languages: English, German, French, Spanish, Italian, or Dutch.
The result of your language assessment does not prevent you from taking part in the Erasmus+ mobility. For Higher Education students, the results are not communicated to the receiving institution. The assessment is provided by the EU/Erasmus+ program and serves only to measure the language progress made during your mobility period.
Offer: Free online language course
If your level after the assessment test is B1 or lower, you will be offered an online language course. The course can be followed during your mobility period.
This course is an offer, and you are not obligated to take it.
When you are going on exchange to one of Aalborg University's European Erasmus partner universities, you must fill out an Online Learning Agreement (OLA). It is a learning agreement between you, your program at AAU, and the partner university.
In your OLA, you need to include which courses you intend to take at the partner university. The courses must be approved by both your Study board at AAU and by the partner university.
ATTENTION! You must apply for an official pre-approval of credits with your Study board – a completed OLA does not substitute the official pre-approval of credits.
Important before you start filling in your OLA
Before you start your OLA, you should know the following:
- The name and contact information of the person from AAU that can approve and sign your OLA (Sending Responsible Person). If you do not know who that is, you can ask Trine Østergaard Vaagholt, trn@adm.aau.dk
- The name and contact information of the person or persons from the partner university that can approve and sign your OLA (Receiving Responsible Person and, if necessary, Receiving Administrative Person). If you have not received this information during the application procedure, you must contact the partner university and ask.
When you have the above information, you can create your Online Learning Agreement (OLA) on this website: https://learning-agreement.eu/
NOTE: You must use the browsers Google Chrome or Firefox (not Internet Explorer or EDGE).
Create a profile (the first time you log in)
The first time you enter the page, you need to create a profile. Here is how you do it:
- Click on https://learning-agreement.eu/
- Select log in with MyAcademicID (EduGAIN which in Denmark is WAYF)
- In the empty field you now write: Aalborg University
- On the AAU WAYF login page, log in with your AAU student email (@student.aau.dk)
- You will receive an email with a confirmation link. Access your email and click on the link.
You are now ready to create your Online Learning Agreement (OLA) in the system.
Here is how you do it:
- You select My account.
- Enter your personal data
- Enter information about your study program:
- 3.1. Field of education. Here you need to enter a subject code (ISCEDcode). You can search for your relevant code here: ISCED codes. Place the cursor in the "Find a code" field on the website and press the space bar. Now, a complete list will appear.
- 3.2. Study cycle. Here you choose Bachelor or equivalent first cycle (EQF level 6) or Master or equivalent second cycle (EQF level 7).
- Read the Terms and Conditions and accept.
- Press SAVE
To start an OLA, select Create New and then Semester Mobility.
Guide – how to complete your OLA
The Online Learning Agreement consists of 6 steps.
1. Student Information
- Your data should have been transferred from your profile to step 1.
- Please note that it is the Academic Year of your exchange that appears at the top.
- Make sure all the information is correct. And press Next
2. Sending Institution Information
- Select Denmark and then Aalborg University. In the Faculty/Department field, write SSH, TECH, ENG or SUND, followed by the name of your study board.
- SSH: The Faculty of Humanities and Social Sciences, TECH: The Technical Faculty of IT and Design, SUND: The Faculty of Health Sciences, ENG: The Faculty of Engineering and Natural Sciences.
- If you are unsure which faculty and Study board your program at AAU is affiliated with, you can find the information in the curriculum AAU Curricula
- Then, fill in information about the Sending Responsible Person and Sending Administrative Contact Person.
- You can put Trine Østergaard Vaagholt, International Coordinator, trn@adm.aau.dk as Sending Administrative Contact Person.
- Press Next
3. Receiving Institution Information
- Select the Country and Receiving institution and then fill in the information about Receiving Responsible Person and, if necessary, a Receiving Administrative Person.
- Press Next
4. Proposed Mobility Programme
- Fill in the planned start and end date of your exchange (Mobility).
- In Table A – Study Program at the Receiving Institution, you add the courses/modules/subjects you will follow during your exchange. These are the courses you expect to get or have already gotten pre-approval of credits for. You can add courses by clicking on the pink button that says Add Component to Table A.
- You also need to select the main language of instruction at the receiving institution and your level of language competence within that language.
- In Table B - Recognition at the Sending institution, you fill in the courses/modules/subjects you should have completed at AAU if you had not gone on exchange.
- You can add courses by pressing the pink button that says Add Component to Table B.
- You can choose to write Mobility Window and the number of ECTS.
- Press Next
5. Virtual Components
You do not need to fill in anything here
- Press Next
6. Commitment
- Here you sign the OLA digitally by clicking Sign and send the Online Learning Agreement to the Responsible Person at the Sending Institution for review at the bottom of the page.
Your Online Learning Agreement has now been forwarded for review. You can always log in to the page to see the status of your OLA.

When you apply for an Erasmus+ study place at an Erasmus+ partner university you automatically apply for a grant provided that you apply within the deadline.
The application deadline for a grant is 1 March for stays in the Autumn semester and 1 November for stays in the Spring semester.
You can still be considered for a scholarship after the recommended deadline if funds are still available.
Fewer Opportunities top-up
In the Erasmus+ programme, a certain group of students can be awarded an extra top-up with the grant. The Fewer Opportunities top-up is 250 Euros per 30 days. For eligible students, this top-up is added to the ordinary Erasmus+ grant.
Students in the Fewer opportunities category
- Students with functional impairments, chronic or treatment-requiring disorders (applies to both mental and physical disorders as well as learning difficulties)
- Students with civic duty or called up for service in the Reserve (the civic duty or service in the Reserve itself must require attendance in Denmark during the same period as the student's Erasmus+ mobility)
- Students who are dependents or resource persons. It can be as parent, adoptive parent, carer for a sick family member, mentor, or support person. It is not a requirement that children be taken along on the Erasmus+ mobility

Do your expenses exceed the Fewer opportunities top-up?
If you have expenses related to your special needs, that exceed the top-up amount (Euro 250/DKK 1.860 per month) there might be an option to apply for Inclusion Support via the Erasmus+ programme. For more information, see below.
Inclusion Support
It is possible to apply for additional support – Inclusion Support - for Erasmus activities for students with physical or mental disabilities, or other health conditions that make participation in an Erasmus stay not possible without extra financial support.
Please note that the need must be documented, e.g. by the fact that you are entitled to SU disability supplement or by a medical certificate.
Examples
Examples that could be eligible for Inclusion Support according to individual needs, include but are not limited to:
- Adapted accommodation (here you can apply for the difference/price difference between regular student accommodation and, for example, special disabled accommodation or single room)
- Travel assistance
- Medical Attendance (Medical treatment, physiotherapy or similar abroad or Medical follow-up)
Please note that these must be expenses that are extraordinary in connection with the study abroad and must be expenses that you cannot cover in any other way.
If you are awarded Fewer opportunities top-up, it must be expenses that exceed 250 Euro per month.

PLEASE NOTE
There is no guarantee of receiving the Erasmus+ Inclusion Support. The application is submitted by Aalborg University to the Agency for Education and Research (the national Erasmus+ agency), which will process the application and determine the grant.
The processing times is typically 3-6 weeks.
When your Erasmus+ stay is coming to an end, there are several things for you to remember:
- Have the last part: 'After the Mobility' filled in and signed before you leave the partner university.
- Fulfil the second language assessment from the Erasmus+ OLS. A link is sent to your AAU student email.
- Answer the online survey: Erasmus+ Participant Report. A link is sent to your AAU student email.
- Hand in your Transcript of Records from the partner university to your secretary/Study Board and the International Office (IO).
Both the Learning Agreement and the Transcript of Record must be uploaded to International Office's online system.
NB! For students who received an Erasmus+ grant: If you fail to do the above-mentioned things, the International Office has the right to reimburse the grant.

As an AAU student, you can receive guidance on staying abroad during your studies.
You may be in doubt about what makes sense regarding your studies when you can travel, and how to go about it? Maybe you are also in doubt about whether it is something for you?
Book a time for guidance by calling or sending an email to outgoing-student@adm.aau.dk. Please state what you would like guidance on and if possible if you wish to stay outside or inside of EU/EEA.

If you want to talk to a supervisor from International Office, you need to book an appointment in advance by calling or sending an email to the right employee. Please indicate whether you prefer the guidance to be held physically, by phone, or via teams.

To ensure you get the best guidance, we recommend that you book an interview about your topic by sending an email to outgoing-student@adm.aau.dk.
